How to add a Microsoft Outlook email signature?

Microsoft Outlook is the most frequently used email client by professionals and companies. Its success is very much related to its integration with the Microsoft Windows system. It’s also used for managing personal data and, usually, is part of the Office applications, but can be installed separately.

Windows Live Mail, Outlook 2007, Outlook 2010, Outlook 2013, and 2016 versions are very alike, mainly their configuration tabs. With this, the Outlook 2010 tutorial is also useful for the 2013 version, for example.

Adding an email signature in Microsoft Outlook

In this tutorial, we’ll write some instructions teaching you how to add an email signature in HTML over Outlook. We consider that the signature was already created using Bybrand’s email signature editor.

With Outlook open, go to the Messages tab, in the Include group, choose Signature → Signatures.

After entering the email signature area of Microsoft Outlook, the next step is to copy the signature created using Bybrand.

Please — don’t close Outlook. Go to Bybrand and copy the email signature. You can see how it’s done in the video below:

Subsequently, paste (Ctrl+V) the content in the signature area of Outlook. It’s possible to create more than one signature in Outlook and link them to specific email accounts. Save it, and now all your messages will have a signature!

It’s important to enable HTML messages for the signature to be shown correctly.
