Access the Automation area<\/h3>\n\n\n\n<p>In the Bybrand dashboard, go to the <strong>Automation<\/strong> menu.<\/p>\n\n\n\n<p>This area allows you to create employee groups and generate personalized signatures in bulk using data from Microsoft Entra ID.<\/p>\n\n\n\n<p>Next, click to create a <strong>new group<\/strong>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. Import employees from Microsoft Entra ID<\/h3>\n\n\n\n<p>In the import step, select the <strong>Microsoft Entra ID<\/strong> integration. You can choose specific employees or import all available users. <\/p>\n\n\n\n<p>To create signatures in bulk, select the option to import <strong>all employees<\/strong>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3. Connect a signature to the group<\/h3>\n\n\n\n<p>In the <strong>Signature<\/strong> step, connect an email signature to the employee group. These fields are responsible for automatically pulling information such as name, title, phone, department, and profile photo. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">4.1. Adding the photo placeholder<\/h3>\n\n\n\n<p>You need to add the <code>{{photo}}<\/code> placeholder if your HTML signature does not have the field.<\/p>\n\n\n\n<p>On the editing screen, you will see the placeholders available for the Microsoft Entra ID integration. Locate the field related to <strong>{{photo}}<\/strong> and add it to the signature layout. <\/p>\n\n\n\n<p>Take the opportunity to review spacing, alignment, and image size to keep the signature professional and well-organized.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">5. Verify the result<\/h3>\n\n\n\n<p>In the employee list, check if the signatures were generated correctly.<\/p>\n\n\n\n<p>If the photo does not appear, check the following points:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The photo exists in the user&#8217;s profile in Microsoft Entra ID.<\/li>\n\n\n\n<li>The photo upload option was checked during import.<\/li>\n\n\n\n<li>The photo placeholder was added to the signature template.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Deploying the signature to the employee&#8217;s Outlook<\/h2>\n\n\n\n<p>After reviewing the generated HTML signatures, you can deploy them to the users&#8217; Outlook.<\/p>\n\n\n\n<p>To complete this, you must install the Bybrand component in the <strong>Microsoft 365 Admin Center<\/strong>.
