You can run the sync manually or set up an automatic routine. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What is data synchronization?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Syncing updates employee placeholders in Bybrand with data from the source directory, such as Google Workspace or Microsoft Entra ID.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, when a person&#8217;s job title, department, phone number, or name changes in the directory, Bybrand can use the new values in email signatures.<\/p>\n\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">The integrated directory is the official source for mapped fields. Bybrand will retrieve the latest data from the connected directory. <\/li>\n\n\n\n<li>In the loaded list, select the employees you want to sync and proceed with the update.<\/li>\n\n\n\n<li>Upon completion, check the operation result and review a few employees to confirm that the placeholders were updated correctly.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">Manual sync does not change the automatic schedule. You can use it at any time, including when the automatic routine is active or paused. <\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What happens during synchronization?<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Bybrand queries the connected directory and looks for employees who already belong to the group. For each person found, the values of the mapped fields are compared and updated when necessary. <\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Only employees who already exist and are linked to the group are updated.<\/li>\n\n\n\n<li>People who do not belong to the group are ignored.<\/li>\n\n\n\n<li>New users found in the directory are not added automatically.<\/li>\n\n\n\n<li>Employees missing from the directory are not removed automatically.<\/li>\n\n\n\n<li>Fields with no changes remain as they are.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">Automatic synchronization<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Automatic sync keeps employee placeholders updated at regular intervals. If you need to update data immediately, use manual sync. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can change the frequency or pause the routine at any time. The new setting will be applied to the next runs. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">What will be updated automatically?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">The routine uses the field mapping already configured for the group. In each run, Bybrand queries the directory and updates only the employees who already exist and are linked to the group. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Directory data replaces the corresponding values in the mapped placeholders. Automation does not add new employees, remove people from the group, or create email signatures. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How to track runs<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">In the <strong>Sync automatically<\/strong> panel, you can view:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the schedule status: active or paused;<\/li>\n\n\n\n<li>the configured frequency;<\/li>\n\n\n\n<li>the date and time of the last run;<\/li>\n\n\n\n<li>the scheduled date for the next run;<\/li>\n\n\n\n<li>the time zone used by the routine.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Open <strong>Activity history<\/strong> to view previous runs and their results. If a significant failure occurs, Bybrand will display a notification with the problem and recommended action. <\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity is-style-dots\"\/>\n\n\n\n<h2 class=\"wp-block-heading\">Manual change<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">You can also update placeholder data manually. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This option is useful when you need to quickly modify data for one or two employees without running a new sync.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To complete this, visit the employee list in the <strong>Automation<\/strong> group. Check these individuals&#8217; association with the integrated group. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Automatic sync did not run<\/h3>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Confirm that the option is active.<\/li>\n\n\n\n<li>Check the frequency and the next run.<\/li>\n\n\n\n<li>Verify if the integration is still connected.<\/li>\n\n\n\n<li>Check the notification or the result of the last attempt to identify the cause.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Delay in propagation of changed data<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">When you make a change to a user field in the User Directory, it may take some time for the data to propagate to all services. Manual sync remains available even when the automatic routine is configured. <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Can I change the frequency later?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Yes. You can choose another frequency or disable automation. The change will be applied to the next runs.  <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Can I sync only some users?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Yes, in the manual option. During the process, you can select which users you want to sync. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is useful when you want to update only one employee or a small group of people without changing all imported records in the <strong>Automation<\/strong> group.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">What happens to manually added data?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Bybrand keeps manually added values when the corresponding fields are empty in the source integration.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For example, if you manually add a value for an employee&#8217;s department field, but that field is empty in the connected directory, the sync will preserve the existing manual value.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This behavior helps prevent useful data from being erased when the source has no information filled in.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How does Bybrand handle fields with multiple values?<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Some Google Workspace Directory fields, such as&nbsp;<strong>organizations<\/strong>, can contain more than one record for the same user. This happens, for example, when a collaborator has a job history or is linked to more than one organization. <\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In these cases, Bybrand always prioritizes the record whose property  <strong><code>primary<\/code><\/strong>  (Primary organization) is set to  <strong><code>true<\/code><\/strong>.
